Overview

Core Contributors have expressed concerns about the number of communication tools we use, citing missed updates, confusion, and coordination challenges across time zones. The most popular solution was to consolidate some of these tools to streamline communication. Core Contributors identified the following as their preferred tools—Discussion Forum, Slack, GitHub, Atlassian Wiki, and Open edX Blog—but there is no clear guidance on when to use each one.

This proposal seeks to evaluate each tool, understand its strengths and weaknesses, and ultimately create a simple set of guidelines describing when to use each tool.

Solution

To ensure the right decisions are made about which tools to use and when, we propose a thorough investigation period. Some key steps include:

  • Identify Chosen Tools: xxx

  • Audit of Current Tools: Review how each tool is being used and identify where there are overlaps or inefficiencies.

  • Research Best Practices: Study how other communities manage their communication tools and identify useful strategies.

  • Tool Evaluation Criteria: Set up criteria for evaluating each tool, such as how well it supports searchability, ease of use, and public discussions.

  • First Draft of Guidelines: Based on the findings, create a rough set of guidelines on when to use each tool.

  • Feedback: Share the first draft with Core Contributors and gather their feedback.

  • Final Guidelines: Armed with the feedback collected from Core Contributors, adjust and expand upon the first draft, until we are left with a simple but thorough set of guidelines outlining when to use each communication tool.
