Merge the Contributors Meetup Async Update and the Core Contributor Check-in into one report

The template shown below will be rolled out after the sprint feedback deadline on Monday, April 14th, 2025.

Description

One issue that was not tackled during the Summit to Enhance the Core Contributor Experience was the potential merging of the Contributors Meetup Async Update and the Core Contributor Check-in into one report. We received some valuable feedback from the survey we sent out in 2024 and it would be beneficial to implement the feedback.

Survey Feedback

68.6% of CCs would like the Contributors Meetup Async Update and the Core Contributor Check-in to be merged into a single report. The general feedback highlighted the need for the report to be less technical for non-technical CCs, more concise, and widely circulated across Slack working group channels.

Contributors Meetup Async Update Feedback

Here’s a link to the current Contributors Meetup Async Update, along with the suggested improvements:

  • Working Groups Updates:

    • Shorten this section, as most people prefer meeting notes or joining meetings for detailed updates.

    • Link directly to meeting notes for each working group and subgroup, allowing easy access to detailed information.

    • Ensure active working groups maintain up-to-date meeting notes, including transcripts and recordings. Survey feedback emphasized improving note quality.

    • Simplify the format by removing non-essential details like Slack and Chair info, which are available on the Wiki, to keep the update concise.

  • Events:
    Consider removing this section, as feedback indicated it gets “lost” or overlaps with notifications from Slack/email. If kept, focus on key details, such as:

    • Milestones (e.g., upcoming releases)

    • Community calendar events

  • Projects:
    Many CCs found the Projects section useful, but some feedback suggests it may not be fully understood, with several noting it’s "often empty." We may instead use this space to highlight "what’s happening" by linking to:

    • The release planning spreadsheet

    • The platform roadmap

  • Next async update and meetup:
    Based on survey feedback we need to explain why it’s useful to join the group and why we hold these meetings. Focus on making these changes:

    • Update the heading to something like "Join the next Contributor Coordination Working Group meeting".

    • Ensure the links included navigate to the correct spaces.

Core Contributor Check-in Feedback

As per this proposal, the Core Contributor Check-in will now only include the following questions:

  • How did you feel during the last sprint? (1 = Challenged; 3 = Okay; 5 = Great)

  • What or who are you proud of? Is there any work you'd like to celebrate?

  • Is there anything you're stuck on, need help with, or any areas you'd like input on?

Report Date

Core Contributor Sprints last for 2 weeks, starting on a Saturday and ending on the second Friday after the start date. The Contributors Meetup Async Update is currently posted on the Friday at the end of week 2, marking the conclusion of the sprint.
