  • Main Pain Points:

    • Extra Role Assignment for Course Visibility: Often, the “staff” role is assigned to experts who need to review course content, even if they only require viewing access. This setup can provide more access than necessary, so instructions are given to avoid making changes.

    • Repetitive User Management for Legacy Courses: When team members leave, permissions must be removed from multiple courses individually, a time-consuming process. A tool to locate a user and remove their access across all courses at once would facilitate this task.

    • Challenge with Accessing Course Data: Rebeca noted that, as an administrator, she still has to manually add herself to the "data researcher" role for access to course reports.

  • Feature Requests:

    • Viewer Role with Limited Permissions: A role allowing experts to view course content without editing rights would allow safe content reviews with limited access.

    • Tool for Removing Users Across Courses: A centralized tool to remove a user from all courses at once would be helpful, particularly with frequent staff changes, and assist in keeping user permissions up to date.

    • Separated Role Assignment Interface: A redesigned interface, with learner enrollment and staff role management in different sections, would provide a clearer user experience.

    • Default Data Researcher permissions for Admin: Rebeca recommended that administrators automatically receive the "data researcher" permissions, eliminating the need for manual assignment.

  • Ease of Use:

    • Role Assignment Complexity: Although the team is familiar with using the role assignment area, the combined learner enrollment and staff roles feel weird to have on the same screen.

  • Support Needs:

    • Documentation and Community Support: The team typically consults internal documentation for updates. They rarely interact with Open edX community forums but would benefit from additional internal resources for staying informed about changes.
