Administering a CC Offboarding

Here is a checklist for Axim on-call about how to handle an “offboard” ticket for departing CCs

When a CC reaches out to indicate that they are departing the Core Contributor program, please do the following:

  1. Reply to their email announcing their departure (cc’ing the legal team) with the following acknowledgement:

I understand your message as providing notice of termination to be effective [DATE OF EMAIL] (i.e., [X] days following your notice) of the Core Contributor Agreement between you and Axim Collaborative. If you did not intend that outcome, or if you become interested in rejoining the program later, please let me know.

If they were a code committer, add this text as well:

Also, please note: if you signed an individual CLA with Axim, that CLA remains effective, and you are welcome to contribute code under that CLA when you want. If you committed code under an entity CLA and are leaving that employer, please let us know.

If they provided a notice of less than 30 days, please reach out to the legal department for advice.

2. Encourage them to announce their departure in an appropriate forum (likely #core-contributors on Slack, but some roles may have channels more appropriate to them). If they do not, post on their behalf in #core-contributors expressing thanks for their time in the program.

3. On the https://openedx.atlassian.net/wiki/spaces/COMM/pages/3156344833/Current+Core+Contributors+to+the+Open+edX+Project wiki page, remove their row from the “current” table and add it to the “past”.

4. Remove elevated access:

  • For all: Remove them from the CC mailing list https://groups.google.com/a/axim.org/g/core-contributors/members?pli=1

  • For coding core contributors, remove them from the dev list: https://groups.google.com/a/axim.org/g/core-contributors-dev Everything else will already be taken care of via other channels

  • For translators or anything related to Marketing, double check with Eden that things are set

  • For forum moderators, remove their moderator access but leave their account alone. Moderator badges should not be revoked.

  • For other roles - no more are currently defined, but when we do get new roles, if this isn’t updated figure out who the CC has been working with and have that person terminate any access.

5. Remove the “Core Contributor” role from their SalesForce record

6. Contact @Fox Piacenti by direct message on Slack with the full name and email address of the departing CC and Fox will remove said CC from the bi-weekly check-ins on Listaflow.com.
