2024 Conference Speakers FAQ

Q: Will presenters have the opportunity to get a feel of the venue before the day of the presentation so they can best see how they can use the space in their session?

A: Details on the venue are here: https://drive.google.com/file/d/1bdb1Z0repGguJ4blXC-g7QjYuqMgUSK8/view

Q: Why do I need to fill out a release form?

A: Speakers need to fill out a release form so Axim may record and redistribute your talk! We will be putting it on our YouTube channel: https://www.youtube.com/c/openedx Find the release form here (speakers only).

Q: Will presenters have the opportunity to get a feel of the venue before the day of the presentation so they can best see how they can use the space in their session?

A: Everyone may attend the conference starting on the first day of the conference, Tuesday, 2 July. This means that workshop presenters may need to rely on the above venue pictures, but Wed/Thurs presenters can take a peek at the rooms they’ll be in early.

Q: Will there be a tech person in the room or is it up to the speakers to manage the tech on arrival ahead of their session?

A: There will be a conference volunteer in the room who can help assist with connecting the presenter's laptop to the projector. We recommend presenters arrive to their room 5-10 minutes early to ensure this is set up smoothly. When we have more information about the A/V tech, we will send out an email to speakers explaining what sorts of connectors we have (typically I would expect us to at least have connectors for USB-C and HDMI).

The volunteer will also introduce the speaker and provide timing (we do a countdown, so for 45 minute sessions the volunteer would hold up cards at 10, 5, 2, and 1 minute left - the speaker has the opportunity to discuss with the volunteer how they would like this best communicated).

Q: Will I need to bring my own clicker to advance my slides?

A: Hopefully not, but we still need to check what our A/V capabilities at Stellenbosch are.

Q: How will lightning talks be handled?

A: We are still figuring this out. We will contact lightning talk presenters soon, but in previous years, we’ve collected all slides into a single deck and presented from one computer.

Q: Can speakers share their slides?

A: Yes! We will be asking presenters to upload their slides to the event app, which will be available soon. Ideally, slides will be uploaded prior to the presentation; if that’s not possible, as close as possible to the end of the talk would be appreciated.

Q: Will there be a meeting for speakers prior to the conference?

A: No, but additional questions may be asked in the comments of this page!
